Getting started

Do you have a free trial?

Yes. The trial runs 30 days and includes 5 property reports, and no card is needed to start it. It is one trial per account and it is a single seat: a self-serve trial account does not belong to an agency workspace yet, so an invite sent from it is refused. Ask us to set the workspace up and then you can invite your team.

How long does onboarding take?

Most agencies are productive in a day. Enterprise adds onboarding with office training for offices of 50 or more users. There is no dedicated account manager on any plan. Setup help comes on WhatsApp and email, and that is the same on every plan.

Can I migrate my existing contacts and listings?

Yes, from CSV. Larger migrations are run for you by the RealtyPA team rather than self-served: you share a folder of named files like contacts.csv and residential.csv, Validate CSV does a dry run that writes nothing, then the live run streams an Import Log marking each row Created, Updated, Failed or Skipped. Contacts are matched on first email address, and on first phone number when there is no email, so a match is merged rather than duplicated. A first-run wizard that counts the listings on your Property24 profile and imports them is built, but it is switched off in the shipped build, so nobody sees it today. Ask support and the RealtyPA team runs that import for you instead. There is no Excel import and no per-CRM connector.

Does RealtyPA work on mobile?

Yes. The iOS and Android apps run the same bundle as the browser CRM, with the same login and the same data. A narrow screen shows a trimmed layout: the property drawer drops to five tabs, Overview, Documents, Listing, Marketing and Activity, so Leads and Matches are hidden, and lists render as cards instead of a column table. The cut is a window narrower than 500 pixels rather than a device check, so a tablet, or a phone held in landscape, still gets all seven tabs. Blu is there too: on a phone the assistant opens from a round button above the add button, on every screen.

Can I take rental applications?

Yes. Every To Let listing on your agency website carries an Apply to Rent button, and it opens a four step form: Personal Details, Employment Details, Current Living Situation, then Household and Move-in Details. Submitting it creates a lead and a rental application. The applicant is matched against your existing contacts on email, then on phone, and a new contact is only created when nothing matches. The application lands under Applications at stage New, linked to the contact and the lead.

Does RealtyPA help with lead tracking?

Yes. RealtyPA captures Property24 and Private Property enquiries, your website and listing enquiry forms, public booking page viewings and rental applications, and unifies them into one Leads inbox with stages of New, Active, Won and Lost. Connected email inboxes are not a lead source. Every lead gets a fingerprint of its message, name, contact details, listing and date, so a repeat of the same enquiry reuses the existing lead rather than creating a second one.

How accurate are the CMA valuations?

A Knowledge Factory valuation is a model prediction, not a comparable by comparable analysis. It stores a low, a predicted and a high amount plus safety and confidence percentages, so take a range to the seller rather than one headline number. Tap Valuation on the property and pick a type: Agent, Municipal, Knowledge Factory, CMA or Lightstone. For a CMA you enter the sale amount, the rental amount and the date it was done. There is no comparables engine and no report generator in the app, so build the seller document outside it. Real Deeds Office transfer history does sit on the property Overview tab, with the last sale price and date.

Can I customise RealtyPA for my agency?

Yes. Your agency website carries your own logo, favicon and colours, and document templates are Google Docs so your wording and clauses carry through. Records are shared through Who has access, and a grant can go to a person, a team or an office. Dual, joint and open mandates carry a commission split percentage. The workspace admin list decides who sees Users, Teams and Offices.

Does it integrate with Property24 and Private Property?

Yes. Tick Publish to Property24 or Publish to Private Property on a listing and RealtyPA formats the advert, attaches the photos and posts it, then reports the result back on the listing, including a View error link when a portal rejects it. Enquiries come the other way on a poll that runs every ten minutes and picks up where it left off, so a portal lead lands within minutes. Property24, Private Property and your own agency website are the three connections that exist, and there is no other portal.

Pricing & billing

How does pricing work?

Individual is R299/user/month with no office fee. Agency plans are per user per month plus a flat office fee: Pro R499/user + R1,500 office; Enterprise R799/user + R2,500 office. All prices in South African Rand, ex VAT.

Can I change plans mid-term?

Yes, if you pay for your own seat. The plan screen shows your Current plan and a Change plan button. Upgrading takes effect straight away: you pay the difference for the days left in the current month on a Peach Payments checkout. Downgrading applies at your next renewal, so you keep the plan you have paid for until the period ends and nothing is charged now. Cards are not charged automatically on renewal yet, so nothing is taken off your card when the month rolls over. If your agency provides your plan, it is billed on the agency account and your agency admin changes it.

Do you offer annual billing?

Plans bill monthly. Two things bring the Enterprise rate down to R499. On agency billing, pay 6 months upfront and the invoiced rate is R499 per user per month. On your own account, subscribe to Enterprise within 30 days of signing up and your first month is R499, then R799 a month after that.

What if I use up my monthly property reports?

Nothing extra is billed, because the reports stop. Once you hit the cap the property shows "Monthly limit reached" with an Upgrade plan button, and no further report is pulled until the month rolls over. The allowance is counted per calendar month and resets on the 1st, so a report you do not use does not roll into the next month, and re-opening a property you already pulled this month does not count again. Individual includes 50 deed reports and 10 contact lookups a month, Pro 75 and 15, Enterprise 150 and 20. Agency plans work differently: the deed limit defaults to 150 a month unless an admin sets a different number on the workspace or the agent, it is counted per agent rather than pooled across the office, and whether reports are also billed as top-up packages on the month-end invoice is a term of your agreement. Contact lookups are not capped at all, they are billed per lookup on the same invoice.

Security & compliance

Is my data secure?

Data is encrypted in transit and at rest, and RealtyPA runs on Google Cloud in the africa-south1 region in Johannesburg. Sign-in has no password to leak: you enter your WhatsApp number, RealtyPA sends a one-time PIN, and the PIN goes to your email if WhatsApp cannot be reached. That PIN is the whole sign-in, so there is no separate two-factor step to switch on. Every contact, listing, note and task carries an Activity tab logging Created, Edits, Stage changes and Deleted, with the person and the timestamp. Read-only views are not logged, so treat it as a change history rather than an access log.

Is RealtyPA POPIA compliant?

RealtyPA gives you the POPIA tooling; the compliance is in how you use it. The POPIA tab on every contact tracks seven purposes separately, WhatsApp, phone, SMS, email, hold and process data, property alerts and marketing, each storing the date consent was given, the date it was removed and who confirmed it. Alerts and newsletters check consent before every send, and an unsubscribe stamps the withdrawal date. Read the source on a consent before you rely on it, because imports write consent themselves: a Property24 or Private Property lead lands with WhatsApp, phone, SMS, email and hold and process data set to Opted in and the source set to that portal, and a Knowledge Factory deed pull stamps hold and process data on the owner with the source KnowledgeFactory. That records where the contact came from, not a person agreeing, so the consents that carry a name under Consent confirmed by are the ones an agent recorded. RealtyPA also does not issue a Data Processing Agreement on its own. Clause 7.4 of the Terms of Service says RealtyPA is not the responsible party for the data you hold here and that you remain the responsible party, and POPIA expects a separate written agreement between a responsible party and its operator, so ask us for one directly before you file your compliance paperwork. Two more limits: the Activity tab is a change history, not an access log, and there is no one-click subject access export or hard erase, so a full request is handled with us directly.

Where is my data hosted?

Your workspace runs on Google Cloud in the africa-south1 region in Johannesburg. Some processing happens outside South Africa: sign-in PINs and WhatsApp support run through WATI, transactional email through SendGrid, and the Blu assistant through Anthropic. The Privacy Policy carries a Transfer to another country clause, but it is a bare consent to processing abroad: it names no recipient, no country and no safeguard, so ask us in writing for the detail your compliance file needs. Section 72 of POPIA allows cross-border transfer on specific grounds, and which ground covers your data is a call for your legal adviser rather than something this page settles for you. POPIA does not impose a data residency mandate, so treat in-country hosting as a design choice rather than a compliance guarantee.

Who can see my deals inside my agency?

Visibility is granted per record, not derived from a job title. A record is visible to whoever holds an access grant on it, directly or through a team or office they belong to. Listing, contact, note and task drawers end with a Who has access section, and the property drawer calls the same thing Access. Workspace admins see the whole workspace. Other agents are not restricted to only their granted records by default, so ask us to flag your workspace if you want that. There is no principal role and no per-branch visibility setting.

Support & integrations

How do I get support?

WhatsApp and email support are included on every plan. Message +27 67 552 6107, either from the Help center drawer inside RealtyPA or from the Contact Support button on the sign-in screen if you cannot get in. Support runs during business hours, 09h00 to 17h00 on business days. Clause 6.4 of the Terms of Service promises free WhatsApp support in business hours and says nothing about how fast, so there is no response-time guarantee. Support is the same on every plan: Enterprise adds no dedicated account manager and no service level agreement. There is no live chat widget.

Does RealtyPA sync with Google Calendar?

Yes. It is set up for the whole agency rather than by each agent: your Google Workspace admin authorises RealtyPA once, then appointments you save push out to Google, and a background job running every 15 minutes pulls Google events back for each agent whose own sync interval has elapsed, hourly by default. Google Contacts syncs both ways on the same agency key, but it has no background job and it is not part of the agency backfill, so it runs when the sync is started rather than on a schedule. Google Tasks pulls on the agency key and pushes off an individual token per agent, and self-serve connection is switched off, so talk to us before you plan around either. Outlook Calendar is not usable today. The connection is built, with Connect Outlook Calendar, Sync Now, a Sync Range, Auto Sync and a Sync Frequency, but the production API carries no Outlook credentials, so starting a connection answers Outlook Calendar OAuth is not configured every time. It cannot be switched on for one workspace either, because the self-serve connections switch is one build-wide constant set to off. Apple iCloud is not connected: the Calendar Sync page lists it and says plainly that it only saves your preference for now.

Is there an API?

No. There is no public REST API and no customer API key today. Data leaves the platform through the workspace CSV exports and the built-in Property24 and Private Property connections. If you need something else connected, tell support what you are trying to do.

Can I export my data?

Yes, as CSV. Open your workspace, go to the Export Data tab and hit Download CSV on any of eleven datasets: agents, contacts, properties, residential listings, listing image metadata, enquiries and leads, tasks, notes, emails, appointments and document metadata. Each file is written with a UTF-8 byte order mark so accented names and Rand symbols survive the trip into a spreadsheet. Two limits: the Export Data tab is workspace admins only, and documents come out as metadata rather than the files themselves. These eleven datasets come out as CSV only; the separate deed and contact usage exports in Workspace settings come out as Excel files.
