Sign in for the first time

Enter your WhatsApp number and RealtyPA sends you a six digit pin. There is no password to set, and email takes over only when WhatsApp refuses the message.

Find your way around

Today, the map, Listings, Leads, Contacts, Notes, Tasks and Calendar sit in the sidebar. Today loads on the root route and carries your diary, your tasks and your newest leads.

Add your colleagues

Users, Teams and Offices are admin-level screens. Add each person, group them into a team or an office, then grant records to that group. Visibility comes from the access list on the record, not from a job title.

Search a property

Type an address into search, or tap a point on the map. Either opens the deed search drawer listing what is registered within 150m, and opening a result pulls the full deed report.

Value a property

Pulling the deed returns a Knowledge Factory low, predicted and high figure. Tap Valuation to capture your own Agent, Municipal, CMA or Lightstone number next to it. There is no comparables engine, so that work stays yours.

Work a street from the map

Pan the map and the desktop panel lists every property in view. Open one to pull the deed and the registered owner. Nothing watches an area for you, so there are no saved farming areas and no automatic transfer or bond alerts.

Read a deed timeline

Walk a property's past transfers: the buyer, the sale price, the sale and registered dates, the title deed number and the bond registered on that transfer. Nothing is scored or flagged, so the read is yours to make.

Create a listing on mobile

Tap Add and choose Property, pick the address from the South African autocomplete or the map, then add photos and fill in the listing. The app runs the same screens as the browser CRM.

Co-list with a colleague

A listing can carry more than one agent, and all of them get the mandate emails. Set the mandate type to Dual, Joint or Open and a commission split percentage appears. RealtyPA does not calculate the payout.

Publish to the portals

RealtyPA sets your Property24 and Private Property credentials on your workspace for you, there is no self-serve tile. After that, tick the portals under Manage portals and publish. Untick one and publish again to pull the listing down.

Generate a property brochure

Open the listing's Marketing tab, pick a template, check the fields that filled themselves in, then press Download PDF. PDF is the only format the drawer offers.

Work the Leads list

Property24 and Private Property enquiries, website enquiry forms, booking page viewings and rental applications all land in Leads. Each one is fingerprinted, so a repeated portal pull does not open a second record. Connected email inboxes are not a lead source.

Match buyers to listings

Add a property requirement on the contact's Matches tab. Save a listing and RealtyPA matches it within seconds and flags it on both records. Nothing reaches the buyer until you tap Send alerts on the listing. That send also arms its show day alerts, which then go out on their own in the 48 hours before each show.

Follow up without dropping a lead

Put a task or an appointment on the record and pick a reminder from 10 minutes to 2 days before it is due. Nothing chases a quiet lead on its own, and nothing watches how long one has sat in a stage.

Request a client's FICA pack

Open the contact's FICA tab and tap Request FICA documents. RealtyPA WhatsApps them a signed link, they verify with a six digit code and upload. Once all three required documents are in the status reads Submitted, and only you can move it to Compliant.

Record POPIA consent

Seven consents sit on every contact, each storing when it was given, when it was removed and who confirmed it. Sends check them before anything goes out. Delete contact takes the record out of your lists rather than erasing it, so a full erasure request has to be handled with us.

Build a prospecting list

Filter the properties list on stage, transaction type, property type, price, suburb and rooms, then open each one to pull the deed. Every owner on a transfer becomes a linked contact, and Export to spreadsheet gives you the filtered properties as Stage, Address, Price, Suburb and Agents. There are no saved farming areas.

Generate listing artwork

Open the listing's Marketing tab and pick one of your agency templates. The tag line, reference, agent, property and price fill themselves in. Edit any field, download the PDF, then post it yourself. There is no Meta Business or LinkedIn connection in RealtyPA.

Send a newsletter campaign

Switch Newsletter subscriber on for the contacts you want, write the campaign on the Compose tab, send yourself a test, then send it. The Stats tab returns recipients, opens, clicks, unsubscribes and bounces.

Upload mandates and OTPs

Upload documents onto the property, the listing or the contact they belong to. There is no separate file library, no OCR and no search inside document contents, so you find a document by opening the record it is attached to.

Set a task with a reminder

Give the task a type, a due date and time, an assignee and a reminder from 10 minutes to 2 days before. The Tasks page splits them into Due today, Overdue, Upcoming and Complete, and an open task snoozes by a day, three days or a week. There are no stage-driven task templates.

Get your diary onto Google

Google Calendar sync is set up once against your agency's Google Workspace rather than by each agent, so ask us to link it. After that, appointments you save push out to Google and a background job pulls Google events back in.
